Integrate the IA System with Boards on Fire – take Control of your HSE Deviations

Managing deviations should be simple, efficient, and a natural part of daily improvement work. By integrating the IA system (Information System for Work Environment) with Boards on Fire, you get a full overview of reported events - directly on your digital management boards.

Less manual work. When a deviation is reported in the IA system, it is automatically transferred to the correct board in Boards on Fire.

In this guide, we walk through how the integration works, what is required to get started, and how to get maximum value from the connection.

How the integration works

The integration means that HSE (Health, Safety, and Environment) deviations reported in the IA system are automatically sent to Boards on Fire and displayed on your boards. This makes work environment management a natural part of daily operations, without the need for manual follow-up.

Data is fetched automatically every 15 minutes. Each sync looks back seven days in IA to ensure the information is always up to date.

We do not collect personal information or other sensitive data from the IA system. The information imported into Boards on Fire is limited to:

  • What happened (e.g., deviation, incident, near miss)
  • Case number
  • Date of the event
  • Where the event occurred (location/organization)

Step by Step – Getting started

Step 1: Create an API key in the IA system

For the connection to work, you first need to create an API key in the IA system.

  • Follow the instructions via this link.
  • Important: Ensure that the Limited access option is checked when the key is created. This ensures that no sensitive data can be retrieved via the API. Read more about limited access at the bottom of this article.

Step 2: Configure the API key in Boards on Fire 

Follow these steps to activate the connection in the BoF interface:

  1. Click the Administration menu (the three lines) in the upper left corner. 
  2. Go to the Integration section and select the IA integration tab.
  3. Press the Add IA API Key button.
  4. Fill in the following details:
    Name & Description: Give the integration a clear name (e.g., "IA Production South").
    Client ID & Client Secret: Paste the details from the key you created in IA.
    Languague: Sets the language to display occurences in BoF.
    Top Organization: By selecting a top organization, you ensure all IA events are synchronized, even if they cannot be matched via External IDs.
    If selected: IA events that cannot be matched via External IDs will automatically end up in this top organization.
    If empty: Only events that can be matched via External IDs are synchronized; others are ignored.
    Notifications: Select a user who will receive notifications if the integration should fail.
    Enabled: Controls whether the integration is active. When enabled (default), synchronization occurs every 15 minutes. Disable to stop the data fetch.
    Import historical data: Enable this option to retireve exisiting history from the past year directly from the IA system.
  5. Finish by pressing Add IA API Key.

Step 3: Organizational mapping 

To ensure information lands in the right place, IA organizations must be mapped to your organizations in BoF.

  1. Go to the Administration menu and select Organizations External IDs.
  2. Select IA as the Integration Source.
  3. Use the dropdown menu to link the correct organization in BoF with the corresponding one in IA.

Limited access

Our integration does not fetch personal data or sensitive information. To ensure we never access more data than necessary, a key with limited access is used. This limited access key excludes: the event types Occupational Disease and Harassment/Discrimination, as well as all events marked with restricted access. Attachments are also excluded.

The limited access key also excludes the following fields for all event types:

  • Personal identity number
  • Age
  • Gender
  • Search ID
  • Name
  • Contact person (if other than the injured party)
  • Email address
  • Mobile number
  • Occupation
  • Working hours
  • Number of years in the profession
